CLNEXA is a subscription-based digital Software-as-a-Service (SaaS) platform. Because you receive instant, full access to all platform features immediately upon payment, we operate a no-refund policy after a successful charge is processed. This is standard practice for digital products and services.
We encourage every potential subscriber to take full advantage of our free trial before committing to a paid plan. Our trial is genuinely free — no card required, no hidden charges.
Free Trial Period
CLNEXA offers a 14-day free trial with full access to all platform features. We want you to be 100% confident in your decision before spending a single pound.
- No payment information required to activate the trial
- Full access to all features included in your chosen plan
- No automatic charge when the trial expires — you choose to upgrade
- Your clinic data is safely stored for 30 days after trial expiry if you choose not to subscribe
- You can cancel or close your trial account at any time with no consequence
If your trial has expired and you have not yet subscribed, simply log in and select a plan to continue. Your data will be intact.
After Payment — No Refund Policy
Once a subscription payment is successfully processed, no refund will be issued. This applies to:
- Monthly subscription renewals
- Annual (yearly) subscription payments
- Lifetime plan purchases
- Plan upgrades or add-ons
- Partial or unused portions of a billing period
Why No Refunds?
CLNEXA is a digital software product. From the moment payment is confirmed, you receive:
- Immediate and full access to all plan features
- Your clinic data, settings, and configurations preserved
- Continued access to all SMS, appointment, and billing tools
- Ongoing server resources allocated exclusively to your account
Because this value is delivered instantly and cannot be "returned," refunds are not applicable — exactly as with other SaaS platforms, mobile apps, and digital subscriptions.

Exceptional Circumstances
While our general policy is no refunds, we review requests on a case-by-case basis for the following situations only:
- Duplicate charge: You were charged more than once for the same billing period due to a technical error
- Unauthorized transaction: A payment was made without your authorization and reported within 7 days
- Extended platform unavailability: CLNEXA experienced a verified outage exceeding 72 consecutive hours during your paid period, with no access to any features
- Technical error: A confirmed system error prevented you from accessing the platform entirely immediately after payment
Change of mind, underutilization of features, switching to a different software, or dissatisfaction with features that were available and testable during the free trial do not qualify as exceptional circumstances.
Cancellation Policy
You may cancel your CLNEXA subscription at any time through your account settings. Cancellation is immediate and straightforward — no forms, no phone calls required.
- Access after cancellation: You retain full access to the platform until the end of your current paid billing period
- No auto-renewal: Your subscription will not renew after cancellation — you will never be charged again
- No pro-rata refunds: Cancellation does not entitle you to a refund for the remaining unused days of your billing period
- Data retention: Your clinic data is retained for 30 days after the subscription ends, giving you time to export if needed
- Reactivation: You can reactivate your account at any time by subscribing to a new plan
If you cancel an annual plan mid-year, you keep full access through the entire year you paid for. The unused months are not refunded.
Billing Errors & Disputes
If you believe there is an error in your billing, please contact us before initiating a chargeback with your bank or payment provider. Chargebacks initiated without prior contact may result in account suspension pending resolution.

- Email support@clnexa.com with your invoice number and a description of the discrepancy
- We resolve billing disputes within 5 business days
- Credit card and payment processing is handled by our secure payment partner — CLNEXA never stores your card details
